Room Use Guidelines
Event organizers must leave reserved spaces clean and ready for the next scheduled use.
- Room Setup and Reset
- Return the room to its original layout and condition before leaving.
- If tables, chairs, or other furnishings are moved, return them to the default configuration shown on the room layout posted near the classroom entrance.
- If the room is not in its standard configuration when you arrive, report the issue to Academic Affairs at [email protected].
- Cleaning and Food
- Wipe down tables after your meeting or event.
- If food is served, dispose of trash in hallway waste containers. Take large trash bags directly to the outside dumpster.
- Do not leave food or food waste in classrooms or labs overnight.
- Damage and Accidents
- Report damage, spills, furniture issues, or problems with audiovisual equipment to the room reservation coordinators, Jordan McMican or Carolyn Brooks, as soon as possible so the issue can be addressed before the next scheduled use.
- Technology Support
- During regular business hours, contact CNR IT at [email protected] for help with classroom technology.
- On-call IT support is not available for after-hours events. Event organizers should test room technology and resolve any issues before the event begins.
Event Policies and Requirements
If you have questions about how to plan an event on campus you can refer to the Event Policy Guide. This guide covers all considerations for event management that need to be taken into account, including housekeeping (when warranted), security, and other responsibilities and accountabilities for those hosting the event or activity.
Regulation 11.55.02 – Use of University Space
NC State allows students, employee units, and external groups to reserve campus spaces for short-term events, provided the activity does not disrupt academic or operational functions. University classes and academic activities get top priority, followed by registered student groups, then external organizations. Room approvals are based on space availability and safety, never on the political or ideological viewpoints expressed. Extra planning and approvals are required for major events expecting over 150 people, serving alcohol, using outdoor amplified sound, hosted by a political candidate, or featuring concerts/dances. Other general restrictions include commercial solicitation, unauthorized fundraising, and overnight camping or setting up temporary living equipment, which are prohibited.
Regulation 01.25.18 – Programs that Involve the Participation of Minors
This regulation establishes mandatory safety, registration, background check, and supervision standards for any university-sponsored or third-party program hosting minors (under 18) on NC State property. Any program serving non-enrolled minors must be approved annually by a Dean or Vice Chancellor and registered with the Office of Youth Programs and Compliance at least 60-90 days before the event. Every adult staff member, volunteer, or contractor working directly with minors (covered individuals) must pass a criminal background check (renewed every 3 years), reference checks, and a driving record check (if transporting participants). All staff and volunteers must complete annual youth safety training covering emergency plans, behavioral expectations, and mandatory reporting rules before interacting with minors. Staff must avoid 1-on-1 contact in seclusion – at least two approved adults must be present. Staff cannot share rooms/bathrooms with minors, transport them in personal vehicles, or contact them via personal social media, personal email, or private text messaging. Any staff member or volunteer who suspects abuse or neglect of a minor is legally required under NC law and university policy to report it immediately to local Social Services/Law Enforcement and the NC State Youth Programs Office.
Regulation 11.55.01 – Production, Service, and Sale of Food
NC State Dining holds exclusive authority over all food and beverage operations, catering, vending, and soft drink sales on core campus to ensure health code compliance, maintain safety standards, and manage university liability. NC State maintains an exclusive soft drink pouring contract. All beverages sold on campus must align with the university’s contracted partner. You cannot host a bake sale, food fundraiser, or give out free food samples without prior written approval. Fundraisers require advance clearance from Student Leadership and Engagement, NC State Dining, and Student Center Events. Any campus event involving alcohol must be coordinated through NC State Dining to ensure it is served by trained, licensed, and insured personnel. This policy does not apply to personal meals brought for individual consumption (not paid for with university funds), classroom curriculum activities, or specific excluded venues (such as private Centennial Campus spaces, Fraternity/Sorority houses, or off-campus locations).
Regulation 04.20.01 – Alcohol Regulation
Alcohol consumption on campus is strictly regulated and limited to private, invitation-only events with advance administrative approval. The regulation enforces North Carolina state laws, prohibits the use of state/federal funds for alcohol, and establishes strict safety controls for serving alcohol on campus property. Alcohol is never allowed at events open to the general public. Events serving alcohol must be private, invitation-only gatherings with controlled access. Approval & Scheduling Rules require explicit approval from the unit’s Dean/Vice Chancellor and the specific facility or outdoor space manager. On university business days, alcohol cannot be served before 5:00 pm. All alcohol must be served by a professional bartender; self-service or open-bar keg setups are prohibited. Substantial food and non-alcoholic beverages must be provided. Alcohol service cannot exceed two hours and must end well before the event concludes. If guests under 21 are attending, the sponsor must implement a tracking system (color-coded wristbands or ID checks) to ensure minors are not served. State-appropriated and federal funds cannot be used to purchase alcohol. Charging a “cover charge” to bypass liquor sales laws is illegal, though fixed ticket prices for receptions with incidental alcohol or official fundraising wine/beer tastings are permitted with proper state ABC permits.
